Manage custom fields

Custom Fields extend contact records beyond built-in columns such as name, email, and phone. Open them from SettingsContactsCustom Fields (/user-profile-settings/custom-fields). When you add a field, the form asks for Display Label (what reps see on create/edit forms) and Type (text, number, dropdown, date, and others). Dropdown types require option lists. Define fields before CSV import so every legacy column maps cleanly—adding a field after import forces a re-upload or manual backfill. Custom fields also appear in Smart Lists filters and reporting when labeled consistently. The Contacts card separates Custom Fields from status and pond tabs—only this page controls Display Label and field type.

Before you begin

  • Spreadsheet or export from legacy CRM listing extra columns
  • Agreement on field types and naming (Account_Tier vs informal synonyms)
  • Contact Status and sources defined if imports use them

What you'll accomplish

  • New fields appear on contact create and edit forms
  • Import mapping preview lists custom columns
  • Reporting and segments can filter on consistent labels

Step-by-step procedure

  1. Open SettingsContactsCustom Fields.
  2. Select Add field (or equivalent create action).
  3. Enter Display Label exactly as reps should read it—this is the primary UI label.
  4. Choose Type: text for freeform, number for scores, select for controlled vocabularies, date for timelines.
  5. For dropdowns, add each allowed option on separate lines or rows per UI.
  6. Save the field.
  7. Repeat for every column you plan to import or capture daily.
  8. Open Create a contact and confirm each Display Label renders in the form.
  9. Upload a small pilot CSV on Import and verify mapping includes your custom columns.
  10. Document field meanings for the team so two reps do not invent conflicting values.
