Calendar overview

Calendar centralizes workspace events—customer meetings, internal syncs, and leave visibility—alongside task due dates when viewed from boards. Creating events through the New Event flow ensures appointment types, durations, and optional Google Calendar sync stay consistent with your booking and scheduling setup. Admins configure Appointment types in Settings; reps use those types when placing events on the shared calendar.

Who can do this

Users with Calendar permission. Creating public booking links may require Admin role.

Before you begin

  • Appointment types configured in Settings
  • Optional: Google Calendar connected for Sync to Google Calendar
  • Understand difference between All Events calendar and Leave Calendar

What you'll accomplish

  • You can create events using New Event and the event modal fields
  • Events appear on All Events calendar with correct Start and End
  • Appointment type applies correct duration and metadata
  • Google sync works when enabled on the event

Step-by-step procedure

Open the calendar

  1. Sidebar → CalendarAll Events (/calendar).
  2. For team PTO visibility, open Leave Calendar (/calendars/leave-calendar) separately.
  3. Use month/week/day toggles if available to change zoom level.

Create an event with New Event

  1. Click New Event (toolbar or click-drag on a time slot).
  2. The event modal opens—complete these fields:

Sync to Google CalendarWhen checked, mirrors event to connected Google account
  1. Add title, attendees, linked contact, location or video link if fields appear.
  2. Save—the event renders on the calendar grid.
  3. If Sync to Google Calendar was checked, verify the event in Google within a few minutes.

Appointment types in practice

Appointment types drive booking link availability and default lengths. When staff manually creates New Event, picking the correct Appointment type keeps reporting aligned with customer self-bookings. Wrong type skews Appointments reports.

Calendar and tasks together

Board Calendar view shows task Due Date entries; All Events shows scheduled meetings. Plan customer calls on All Events; plan internal deliverables on board calendars—do not duplicate the same work on both.

Share customer booking via Triggers and forms and appointment type URLs configured in Settings. Manual New Event complements self-serve booking for phone-scheduled meetings.

Verify your work

  • Event appears at correct Start/End on /calendar
  • Appointment type label visible on event detail
  • Google Calendar shows synced event when toggle enabled
  • Linked contact opens from event detail if set

Tips

tip

Always set End explicitly when types allow override—back-to-back customer calls need buffer time. Review Leave Calendar before scheduling all-hands to avoid conflicting with approved PTO.
