Workforce overview

Workforce (/workforce) manages employee attendance, leave requests, and manager approval queues. Employees Check in at shift start and Check out at end; PTO flows through Apply for leave with manager Approvals using Approve or Reject. Admins must configure shifts and leave types first in Configure workforce settings—without that setup, check-in and leave options may be empty or blocked.

Who can do this

All employees for attendance and leave submission. Managers and Admins for Approvals. HR/Admin for dashboard rollups.

Before you begin

  • Configure workforce settings completed (shifts, leave types, holidays)
  • You know your assigned shift and geo rules if location check-in applies
  • Managers know SLA for pending Approvals

What you'll accomplish

  • You can Check in and Check out successfully on a working day
  • You can Apply for leave with correct leave type and dates
  • Managers can Approve or Reject pending requests
  • Leave status visible on My Leaves and team calendar

Step-by-step procedure

Employee: attendance

  1. Open Workforce (/workforce) from the Work section.
  2. Navigate to My Attendance (or attendance home on landing).
  3. At shift start, click Check in—confirm timestamp records.
  4. At shift end, click Check out—verify total hours display.
  5. If correction needed, follow workspace policy—some orgs allow correction requests in Settings.

Employee: leave requests

  1. Open My Leaves.
  2. Click Apply for leave.
  3. Select leave type (annual, sick, unpaid—configured by Admin).
  4. Choose start and end dates; add reason if required.
  5. Submit—status shows Pending until manager acts.

Manager: Approvals queue

  1. Open Approvals under Workforce.
  2. Review pending leave rows—check team coverage and blackout dates.
  3. Click Approve to grant leave or Reject with comment if denied.
  4. Employee receives notification; My Leaves status updates.

Dashboard and team visibility

Managers use Dashboard for attendance rollups, anomalies, and team on-leave today. Cross-reference Leave Calendar (/calendars/leave-calendar) when assigning tasks in Team workload.

Workforce and CRM work together

Workforce does not replace task boards—it informs capacity. Do not assign critical deadlines to teammates on approved leave; check Approvals history before sprint planning.

Notifications and reminders

Leave decisions trigger in-app alerts—review Notifications if you miss an Approve or Reject prompt. Employees should confirm Approved status on My Leaves before booking travel. Managers should clear the Approvals queue daily so requests do not stall across weekends.

Common employee questions

QuestionWhere to look
Did my check-in register? My Attendance timestamp list
How much leave remains? My Leaves balance if enabled
Who approves my request?Your manager's Approvals queue
Is the office closed?Leave Calendar and holiday settings
  • Submitted leave shows Pending then Approved/Rejected
  • Approve/Reject immediately updates employee view
  • Approved leave appears on Leave Calendar

tip

Submit leave early—managers batch Approvals weekly. Employees: Check out before leaving premises if geo-attendance is enabled to avoid anomaly flags.

Tips

| Check in blocked | Outside shift window or geo-zone—see Configure workforce settings | | No leave types | Admin must configure leave types in Settings | | Approvals empty | No pending requests or manager role not assigned | | Wrong hours | Request correction per company policy |
