Tasks and Boards overview
Boards (Smart Tasks) organize team work on shared boards with flexible views. Unlike ad-hoc reminders, board tasks carry Board, Priority, Status, and Due Date fields visible to the whole team—ideal for onboarding checklists, deal support queues, and ops runbooks. Switch between Table, Kanban, and Calendar views on the same board data depending on whether you need sortable lists, drag-and-drop stage management, or date-based planning. This overview covers task creation via New task and the Create New Task modal fields every rep should fill consistently.

Who can do this
Users with Tasks/Boards permission. Board creation and column configuration may require Admin or Manager role.
Before you begin
- At least one board exists—or permission to create one from Boards hub
- Team agreement on Priority and Status values
- Optional: contacts or deals to link on tasks for CRM context
What you'll accomplish
- You can create tasks using New task and the Create New Task modal
- You can switch Table, Kanban, and Calendar views on a board
- Tasks appear on the correct board with accurate due dates
- You know paths to personal queues (My Tasks, Overdue) if enabled in your workspace
Step-by-step procedure
Open Boards
- Sidebar → Boards (typically
/tasks/smart-tasksor your workspace tasks hub). - Select a board from the hub or recent list.
- Note the view switcher in the toolbar.
View modes

- Click Table, Kanban, or Calendar to switch—data is the same; presentation changes.
Create a task with New task
- Click New task (toolbar or column + in Kanban).
- The Create New Task modal opens—complete each field:

- Add assignee, description, contact/deal link if fields appear.
- Save—card appears in chosen Status on Kanban and row on Table.
Daily usage patterns
- Reps: filter Table to your assignments; sort by Due Date.
- Managers: Kanban standups—move cards as owners report progress.
- Planners: Calendar for sprint planning and time-off overlap checks.
Use @mention in task comments to pull teammates in—mentions surface in Mentions.
Verify your work
- Create New Task modal saves without validation errors
- Task visible in all three views on the same board
- Due Date positions card correctly on Calendar
- Drag across Kanban columns updates Status field
Tips
Standardize Task Title prefixes by board ("SUPPORT —", "ONBOARD —") so Table search stays fast. Review Team workload weekly when Calendar shows clustering on one assignee.
