Create and manage a project

Use Projects for implementations, client deliveries, or internal initiatives that span weeks and multiple teammates. A project workspace centralizes milestones, tasks, files, and discussions so delivery status is visible without hunting through email.

Who can do this

Users with project create permission. Adding members or editing milestones may require project admin rights.

Before you begin

  • Project charter: name, start/end dates, owner
  • Member list with roles (internal vs client-facing)
  • Optional template if your workspace provides starter milestone columns

What you'll accomplish

  • Project created with members and at least one milestone or task
  • Timeline validated on Gantt
  • Deliverables uploaded under Files

Step-by-step procedure

Create the project

  1. ProjectsCreate (or New project on /projects).
  2. Complete the create modal or wizard:
    • Project name — client-visible where applicable
    • Start / end dates — drives Gantt defaults
    • Owner — accountable internal lead
    • Template — optional pre-built milestone columns
  3. Save—the workspace opens on Overview.

Add members

  1. On Overview or the members panel, select Add members.
  2. Search workspace users; assign role labels when offered (viewer, contributor, admin).
  3. Save so assignees receive access and appear on @mention lists in Discussions.

Milestones tab

  1. Open Milestones.
  2. Create columns representing phases (Kickoff, Build, UAT, Launch).
  3. Add cards with due dates and owners inside each column.
  4. Drag cards across columns as phases complete—mirrors Kanban discipline from Deals.

Tasks tab

  1. Open Tasks.
  2. Create tasks with assignee, due date, and priority.
  3. Link tasks to milestone cards when the UI supports linkage so Gantt rolls up correctly.

Gantt tab

  1. Open Gantt after tasks and milestones exist.
  2. Validate dependencies and date slips visually.
  3. Adjust task dates inline when deadlines move—keep Overview dates in sync manually if needed.

Files and discussions

  1. Files — upload SOWs, creative assets, and sign-offs; version by uploading new files with clear names.
  2. Discussions — keep client questions out of private DMs; link CRM contacts when mentioning external stakeholders.
  3. Activity — audit who changed dates or membership.

Close out

  1. Move project status to Finished when deliverables are accepted.
  2. Archive or hide from default list filters per team policy.
  3. Link outcomes back to the CRM contact and any open Deal.

Verify your work

  • Project appears on All Projects with correct status
  • Members confirm they can open the workspace tabs
  • Gantt shows tasks on expected dates after save
  • Uploaded file visible under Files with download working

Tips

Create milestone columns before tasks so assignees always attach work to a phase.
